Item extended information fields

Item extended information fields are used for adding various types of comments to copy records.

There are currently five types of item extended info fields; three are delivered by SirsiDynix, two have been added by CCS.

Before our migration to Unicorn (now Symphony), our Libs+ system had two general note fields in each copy record; these notes only displayed to staff. When we migrated to Unicorn, the system had ten general COMMENT fields that only displayed to staff; the two Libs+ fields were mapped to the first two COMMENT fields. In Unicorn 2003.0, the COMMENT fields in the copy record were changed into the current system of any number of PUBLIC, STAFF, and CIRCNOTE fields; all of our existing COMMENT fields were transferred to STAFF notes at that time.

Each library's local cataloging policies determine whether any of these notes are used. With the exception of the DATEINPUT field, the specific content of each field is also determined by the cataloging policies at each library.

The maximum length of a single note field is 9,999 characters. There is no practical maximum to the number of extended information fields that a single copy record can have.

ACQNOTE

ACQNOTE notes are intended to hold acquisitions-related information and processing notes for catalogers without generating the yellow "note" in the call number "tree" and without always being included when records are printed. Thus, they are not as immediately obvious to public service staff as STAFF notes are.

ACQNOTE field only display in the full copy record display.

Since the system does not link acquisitions records to copy records, and does not otherwise provide a way for selectors to pass processing/cataloging notes to catalogers, the ACQNOTE field is often used to store the purchase order number, the fund, and cataloging instructions. For example:

ACQNOTE  35209, jpr 1 ref 1 circ

CIRCNOTE

CIRCNOTE notes are intended to provide information to circulation staff in WorkFlows at time of checkout and checkin.

The first CIRCNOTE field in a copy record will display in the Checkout, Checkin, Fine-free Checkin, Renew Item, and Renew User wizards if the "Display Circulation Note" behavior property in each wizard is checked.

The CIRCNOTE field is often used to provide circulation staff with detailed information the specific nature of parts in a set. For example:

CIRCNOTE  Includes: 2 parent guides, 1 book, 5 DVDs & 1 compact disc

This field is delivered with the system by SirsiDynix.

DATEINPUT

DATEINPUT notes are intended to record the date an item was fully input and sent out of Technical Services to be shelved or fill holds. Without this field, the only date available for selecting records or calculating an item's average circulation rate is the date the copy record was created. For most CCS libraries, that is the date the item was ordered, and between publication delays and cataloging backlogs is often months or even years before the date the item was actually made available to the public.

DATEINPUT fields only display in the full copy record display.

The content of a DATEINPUT field must be in YYYYMMDD format in order for reports to be able to properly select the data. The date must be the only data in the field. Thus, for an item input on December 31, 1999, the field would contain:

DATEINPUT  19991231

PUBLIC

PUBLIC notes are intended to provide information to everyone who sees the copy record, both patrons and staff.

The first PUBLIC note field in a copy record will display in iBistro, in the extended information area of the Call Number tab at the bottom of a search screen, and when you use File--Print or File--Print Preview to print a record.

Because only the first PUBLIC note is displayed, if you have multiple notes' worth of information to convey, they must all be placed in a single PUBLIC note.

If a copy record has one or more PUBLIC or STAFF notes, a yellow "note" square will appear in the lower right corner of the barcode icon in the record's call number "tree".

STAFF

STAFF notes are intended to provide information to all library staff in WorkFlows; they are invisible to patrons in iBistro.

The first STAFF note field in a copy record will display in the extended information area of the Call Number tab at the bottom of a search screen, and when you use File--Print or File--Print Preview to print a record.

Because only the first STAFF note is displayed, if you have multiple notes' worth of information to convey, they must all be placed in a single STAFF note.

If a copy record has one or more STAFF or PUBLIC notes, a yellow "note" square will appear in the lower right corner of the barcode icon in the record's call number "tree".
