The Public Access Services committee requested that the codes be removed from records for the previous nominees and added to records for the new nominees starting as close to April 1 as possible, as the new lists for all of the awards should always have been released by that point, and this allows them to plan the rotating of their displays to match the change in the public catalog.  This work should be completed within two weeks of April 1.

The codes are removed from records centrally, in an automated manner, but catalogers must add the codes to records for new nominees manually after the mass removal is complete.  All records for physical books, audiobooks, and Playaways should be tagged in this way.  E-books and e-audiobooks should not be included (because they are shadowed from Enterprise), nor should videorecordings or Playaway Views.

There are four Illinois children's book awards whose winners are selected by children who read the nominees and vote for their favorite. Voting is conducted each February, and winners are announced sometime in March. The new lists of nominees are typically issued sometime in February or March, usually before the previous year's winners are announced.

Several CCS libraries highlight these titles in the PAC using record sets containing the nominees. The Public Access Services technical group requests that previous nominees be removed, and new nominees added, by mid-April. The new lists should all be released by then, and this helps them plan their displays to match the change in the PAC.

Starting in March, CCS staff coordinates adding/removing bibliographic records to/from the appropriate record sets. The record sets include books, audiobooks, and Playaways; they do not include videos, adaptations, or translations.
