Unique local materials, such as annual school budgets, minutes of local boards, etc. are part of most libraries' collections. While bibliographic access is required for these kinds of materials, cataloging them in WorldCat is optional for the local library.
Use the following guidelines when you do not wish to catalog these materials in WorldCat.
Variable Fields
- 1xx x_ Author
- Include if applicable; use the appropriate tag, indicators and subfields. Also, use the Validate Headings helper to make sure the form of name is consistent with any we might already have in the database; if no match is found, enter the name as fully as your chief source provides it.
- 245 1x Title
- Enter the title as completely as your source gives it. Be sure the non-filing indicator in this tag is correct. If the record is a title main entry, with no author, the first indicator should be 0.
- 264 Publ
- Include subfields "a", "b" and "c", if applicable.
- 300 Desc
- Provide a full description--subfields "a", "b" and "c", if applicable.
- 6xx _x Subject
- Use current and appropriate LC subject headings(s); and/or use local subject headings (tag 690, or in some cases 655 7 ‡2local).
- 7xx Added entries
- Include if applicable.
Generic Records
Generic records are brief bibliographic records for items that do not require full bibliographic access. Each library makes its own decision regarding the use of generic records. Examples include book bags, puppets, or pamphlets, that will not be allowed to circulate. OCLC records are not required for these items. For material that does need bibliographic access but is of local interest, see the guidelines above for unique local materials.
- Generic records should be hidden from the public catalog, by unchecking the 'Display in PAC' box of the bibliographic and item records.
- Identifying your library as part of the title makes it possible for staff to find your records in a hit list:
245 Algonquin book bag 245 Winnetka vertical file material
- Other variable fields may be included, but are not required.
