New Member IT Onboarding Checklist

Prepare for Go Live



IT Onboarding [by July 7th]

  1. Submit the IT Survey by May 1st.
  2. Submit credentials for reporting data (OverDrive, Hoopla, etc) by May 30th.
  3. Attend IT Onboarding at the CCS office:
    • June 25th for Wauconda IT Staff
    • July 7th for Rolling Meadows IT Staff

Configure LX Starter [by July 17th]

Before LX Starter training occurs on July 20th, complete the technical setup so library staff can generate test emails.

  1. Configure the SPF Record
  2. Configure the DKIM Record
  3. Verify the Sender Email
  4. (Optional) Configure the Reply Email

Workstation Setup [by July 20th]

Before the Intro to Staff Client training on July 22nd, for all applicable workstations (technical services and workstations that will be used for offline circulation):

  1. Install the Polaris staff client.
  2. Set up/verify technical services client users' computers as networked drives.
  3. Install QZ Tray. [LINK TO DOCUMENTATION/INSTRUCTIONS]
  4. Set Chrome as the default browser.
  5. Add any necessary shortcuts to Polaris/CCS resources to Chrome and desktop.

Contact Vendors [by September 1]

  1. Inform self-check vendors about migration and new SIP configuration 
  2. CCS will confirm the list of vendors that use API and provide API Key
  3. Contact third party vendors that authenticate via the ILS to notify them about the ILS switch. 
    • This includes econtent vendors, database providers, computer and print management, events registration and meeting rooms, and ecommerce. If in doubt, contact the vendor to inform them of the change.
  4. Schedule authentication changeover for October 20th, before 8am
    • For vendors that use SIP, share SIP information  
    • For vendors that use API, share API key  

Receipt and Printer Configuration [by September 1]

  1. Test receipt printer settings in training Leap and client 
    • Leap > Username > Settings > Print Options 
  2. Submit ticket to CCS with print settings for each workstation. CCS will input in production ahead of go-live 
    • Example: Workstation WRK-CIRCDESK01 to print checkout receipts, fine receipts, and hold wrappers. Workstation WRK-CIRCWRK to print hold wrappers.  

Emails [by September 1]

  • Email receipts and notices from ILS (text record and DNS needs to include iii.com) 

Test Offline [by September 1]

  • Download Screwdrivers on computers that will be printing checkout receipts in offline 
  • Test using remote offline and printing checkout receipts in offline 

Go-Live Day [October 20th]


  1. Switch SIP configuration on Self Checks 
    • If not using self-checks during offline, complete configuration during offline period   
    • If using self-checks for offline, complete after close October 19th or morning of October 20th.   
  2. Confirm vendors have switched SIP/API connections to Polaris.
  3. Test in production ahead of library opening:  
    • User login  
    • Printing receipts  



Post Go-Live


  • Install Local Offline Polaris client on dedicated workstations. This does not need to be the top priority, but should be done as soon as practical after go live so it's in place for future needs.



Ongoing Tasks


  • Notify help@ccslib.org when a staff member leaves the library as part of offboarding tasks. CCS will deactivate their Polaris username  
  • Notify help@ccslib.org  when a new staff member joins the library as part of onboarding tasks. CCS will create a Polaris username and set permissions  
  • Descriptions of staff permission groups found here 
  • Notify help@ccslib.org with new or changes to workstation names
