About the OrangeBoy Savannah Project
What is OrangeBoy? What is Savannah?
OrangeBoy is the company that offers the Savannah tool. Savannah is the reporting platform that CCS will use to consolidate data across many sources.
Why is CCS configuring OrangeBoy Savannah?
In 2024, Governing Board asked CCS to research options for a data analysis platform where members could view CCS-wide data from a variety of sources in a single tool. CCS investigated multiple options, provided demos, and ultimately recommended OrangeBoy Savannah. In 2025, Governing Board voted to approve a CCS contract with OrangeBoy.
What is CCS hoping to accomplish with this tool?
The objective of this project is to identify where members are storing data, consolidate reporting availability for those sources, and eventually provide data analysis support for making actionable insights from that data. For example, OrangeBoy Savannah will allow us to view data for Polaris, eContent vendors, programming data, app usage, computer usage, and gate counts in one place. CCS will also be able to build custom reports and leverage data stored in spreadsheets for more comprehensive data analysis.
The CCS Contract with OrangeBoy
Does our contract include messaging?
The CCS contract does not include messaging tools. However, libraries can receive a 15% discount if signing up for that service individually.
How do mergers with LibraryIQ and LibraryMarket impact this project?
These recent mergers do not impact our contract. CCS will not have access to functionality from LibraryIQ or LibraryMarket. LibraryIQ and LibraryMarket will not have access to our data. OrangeBoy has told us that these tools will remain separate.
I already use OrangeBoy, do I need to keep my existing account?
Yes, if you want to continue utilizing messaging tools, it will be in a separate OrangeBoy site.
Library Data
What data is CCS collecting in Savannah?
CCS is currently able to generate Savannah reports that include data from the following sources (when applicable to your library):
- Polaris
- OverDrive
- Hoopla
- Kanopy
- Mango
- Beanstack
- Freegal
- CloudLibrary
- MyPC
CCS will update this list as new data sources are integrated.
Savannah reports may aggregate patron data, including patron name, address, age, home location, most recent location, most used location, sign up date, and activity date. However, Savannah does not have access to the identity of materials checked out by patrons. For example: reports may include a count of patrons who checked out content from OverDrive, but not identify specific patrons or materials.
What will CCS do with this data?
This project will allow all CCS libraries to view all CCS activity data. CCS will use this data to support data analysis questions from member libraries, for individual and CCS-wide data questions. Any custom reports developed by CCS will only utilize aggregated data.
How is data being shared and protected?
CCS does not share patron data with third parties or vendors without authorization from the patron’s registered library. The CCS Governing Board approved our contract with OrangeBoy and our use of the Savannah tool for consolidated reporting and data analysis.
OrangeBoy Policies
Our contract with OrangeBoy specifies that:
- OrangeBoy will anonymize or pseudonymize data wherever possible.
- No CCS data will be shared with any OrangeBoy parent company, affiliate, or owner.
- No non-public or confidential CCS data will be revealed to any third party or used by OraneBoy for its own benefit.
- OrangeBoy may derive industry insights from aggregated CCS data. These industry insights will not include any personally identifiable information, will not identify any particular OrangeBoy client, and will be used only in the aggregate to help clients see how their data metrics compare to those of similarly situated libraries.
- CCS remains the owner of all data. At any time, CCS may submit a written request for the partial or complete deletion of data stored with OrangeBoy.
- OrangeBoy will use secure protocols for communicating, transferring, and storing CCS data.
- OrangeBoy will not release CCS data to any governmental body or law enforcement agency except as required by law.
- OrangeBoy will not sell CCS data.
- OrangeBoy does not request or store any specific details about the items patrons check out; the general material type is used to group patrons into clusters.
For more information, please see the OrangeBoy Data Use and Security Policy.
CCS limits data access to the minimum required access for each individual’s role. Library staff can only access aggregated data in the form of standard and custom reports. Some CCS staff can view limited individual patron records in Savannah.
CCS Procedures
Wherever possible, we are asking libraries to create new accounts for OrangeBoy to use. This generally prompts a welcome email to CCS so we set the password ourselves. This ensures that we are not sharing the same credentials in use by the library or sending passwords over email.
The savannah@ccslib.org email address we are asking libraries to use is a new dedicated inbox where only necessary staff have access. Ideally, only welcome emails from vendors are being sent to this inbox, not passwords in plain text. CCS will reset any passwords we receive over email. Credentials are then sent to OrangeBoy with an encrypted password sharing tool.
How do I give CCS access to my data?
Wherever possible, we are asking libraries to create new accounts for OrangeBoy to use. This generally prompts a welcome email to CCS so we set the password ourselves. This ensures that we are not sharing the same credentials in use by the library or sending passwords over email.
For step by step instructions for giving CCS access to these data sources, see our OrangeBoy Savannah Configuration Guide.
I thought I already gave CCS access to these tools, do I need to do it again?
CCS received credentials from a group of volunteers to test configuration with OrangeBoy in October-November. If you participated in this activity, you do not need to resubmit any credentials you previously provided. However, it’s possible that you provided credentials for only some of the tools your library uses, and we would still need access to the remaining tools. If you are unsure what you have previously provided to CCS, please reach out and we will let you know what we have on file.
Do I need to change how I collect or store data?
CCS will update this FAQ with any notes recommendations on collecting/storing data that may impact your ability to use OrangeBoy Savannah:
- If you want to compare demographic information against computer usage, it must be stored with cardholder ID or another identifier.
- If you want to view youth reports, you will need to ensure you are collecting patron birthdates.
When will I use Web Reports vs Simply Reports vs Savannah?
Simply Reports are standard reports offered by Innovative to view your ILS data. This is where you can will typically find patron or title-level information.
Web Reports are custom reports built by CCS to view your ILS data.
Savannah will include both standard and custom reports. The main difference is that Savannah reports will include ILS data and data from other sources like OverDrive, Communico, Sensource, etc. Savannah will be an addition to our reporting tools - it will not replace simply reports or web reports.
Implementation Timeline
Roadmap
This roadmap outlines the work to be included in both phases of implementation (“Now”/ “Next”) and the work that is out of scope for implementation but will be considered in ongoing iterations of our OrangeBoy Savannah site (“Later”).
Once member libraries receive access to Savannah, they will have access to each data source as it’s implemented with the OrangeBoy team. Members will not need to wait for all sources in Phase 2 to be delivered as a group in July, for example.
| NOW | NEXT | LATER |
|---|---|---|
| Phase 1 (by Feb '26) | Phase 2 (by July '26) | Post-Implementation Continuous Improvement |
| Polaris Freegal Hoopla CloudLibrary Kanopy Mango OverDrive Beanstack MyPC/TBS Envisionware CCS-wide MarketWatch | EZ Proxy OpenAthens Cisco Meraki Sensource Communico LibraryMarket Programming/Gate Count Spreadsheets Gale Individual MarketWatch Reports Stretch Goals: Select IPLAR Fields Palace Project EBSCO Creative Bug ProQuest | CCS will work with libraries to add data sources with less adoption, additional spreadsheet data, and custom reports. Libraries may submit requests for data analysis. |
Where are we now?
- OrangeBoy has enabled automated data collection from Polaris, OverDrive, Kanopy, CloudLibrary, Freegal, Hoopla, Mango, Beanstack, and MyPC. Cs.
- CCS is coordinating with OrangeBoy to prepare for integrating data from Envisionware
